In an age where the 9-5 workday is not nearly as prevalent as it once was paired with the pandemic world’s challenges, information is usually required during weekends or evenings. This new normal makes Virtual Minute Books the ideal solution to enable clients to independently view, download, or print desired documents as needed without couriering physical copies.
Client minute books have typically been a cumbersome task for lawyers. This process is time-consuming, as the external and internal document requests first have to be retrieved, then physically located, photocopied and resent via email or mail. Instead of relying on risky emails which aren’t secure, using the Virtual Minute Books ensures that my client’s documents are completely protected when they are being delivered. For these reasons, I have decided to move the process online to achieve greater collaboration, efficiency and security with my clients.
I will be uploading the corporate minute books into a central document repository where my clients will have access to them 24/7. Utilizing an organized folder structure within the data room ensures that the documents are kept neat and tidy, and that searchable tags and comments allow individual records to be located quickly. Thus, allowing clients access to any document right at their fingertips, so there is no more time wasted locating the physical copy and finding the correct document. If Minute Books are damaged, lost or stolen, they can be recovered virtually, instantly and without administrative effort.
Through offering my clients a prompt and seamless solution for managing everything from corporate contracts, board approvals, board minutes, liability documents, articles of incorporation and assigning authorities in one secure spot, I hope to deepen my client relationships and increase my client satisfaction.
How to Setup and Use Your Virtual Minute Books:
DoProcess is the business introducing Fast Company’s Virtual Minute Books. Fast Company will be sending the Virtual Minute Books through UnityC, a completely secure option for sharing documents. Created from the ground up with the highest level of security in mind, they use bank-grade access protocols, high-security cloud hosting infrastructure and encrypted data transmission to ensure the safety of your documents throughout the entire process. To begin the Virtual Minute Books process, follow the steps listed below.
- You will first request the principle document you require from me, and I will email you a unique link to UnityC.
- From there, you will be prompted to register and create your UnityC login credentials.
- After you log in, you will then have access to the corporate matters and documents shared with you.
- You will then be taken directly to the documents homepage, and from there, you will be able to select the document that you wish to view, and it will open as a PDF in a separate browser.
From this point, you will now have full access to the document, whether it be Virtual Minute Books or documents. It will work in the same way as clicking on the table of contents in the Virtual Minute Book, and then you will be redirected to that specific document.
This process is a highly efficient and secure way to share documents for an individual corporation. If you have multiple corporations, you will be able to see those on your opening home screen. By selecting the desired corporation file, you will have quick access to all documents shared with you for that particular corporation.
If or when I update the documents shared with you through UnityC, you will have immediate access to those updated documents, which will be indicated to you through a red ‘New’ logo or an ‘Updated’ logo that will be clearly labelled beside the newly updated document.
If you have any questions or concerns about the new and improved Virtual Minute Books process, please do not hesitate to contact me.
